Position Title: Fund Coordinator

Classification: Non exempt

Supervisor: CFO

Position Summary

Tracks all revenue streams that flow into the health center. Assists in the preparation of pre-award grant proposals including budgeting salaries, supplies, equipment, and other expenses; preparing internal documents and formatting proposals per agency guidelines. Manages all fund activities from fund inception to closure following approved policy and procedures. Responsible for allocation of grants and payroll; compliance management for all grants and P&Ps (including Sliding Fee Schedule and procurement).


Essential Position Responsibilities

  • Reconcile monthly ledgers; compile fiscal information to be used to prepare annual budgets, financial reports, and projections
  • Assist in the preparation and development of contract and grant budgets
  • Preparation of detailed monthly financial reports on each fund reflecting paid, accrued, and projected expenditures
  • Document the current and projected financial status of the programs’ funding sources
  • Monitor and reconcile monthly expenses in order to assure validity of all charges for salaries, equipment, supplies and expenses with approved budgets
  • Prepare and/or approve purchasing documents, expenditure invoices and other charges
  • Resolve any accounting problem or irregularities
  • Review patient billing to ensure accuracy and appropriateness of charges.
  • Assist in the preparation of pre-award budgeting including salary, equipment, supplies and other expenses
  • Assist with any queries associated with clinic finances
  • Ensure fiscal accountability and regulatory compliance in the management of contract and grants
  • Demonstrate understanding of WCC policies and procedures
  • Interacts with patients, physicians, staff, vendors, and visitors in ways that demonstrate caring and reflect the WCC mission and philosophy
  • Attends WCC meetings as required
  • Other duties as assigned


Skills

  • Skill in performing various accounting principles, business math and bookkeeping transactions such as debiting, crediting, reconciling expenses, preparing transfer of payroll and non-payroll expenses
  • Skill in projecting salary, benefit and indirect costs, with knowledge of payroll and employee regulations impacting such cost
  • Demonstrated ability to analyze and prepare budgets, to identify spending patterns and project future expenditures
  • Skills in perceiving and defining cause and effect relationships between expenditure rates and budgetary projections
  • Proven ability to analyze complex financial issues, recognize potential impact, identify creative and alternative solutions, and make recommendations
  • Excellent skills in data management and conversion for report generation


Education and Experience

  • Bachelor’s Degree in business or accounting preferred
  • Demonstrated experience in principles and practices of fund accounting, cost analysis, and audit procedures
  • Proven experience in analyzing and interpreting data to produce complex financial reports
  • Strong experience using computer spreadsheets and database applications for report generation
  • Demonstrated experience using computer software such as Excel, Microsoft Word, and e-mail


Supervisory Responsibilities

This position does not have any supervisory responsibilities.


Physical Requirements

Position requires prolonged hours of sitting at a computer, standing and walking in a clinic setting.


Travel Requirements

Travel required to attend monthly local meetings; occasional travel within and out of state.
